If your business offers various services that require unique availability and resources, a standard calendar won’t suffice. This guide will help you create a service calendar to manage different services efficiently. Let’s dive in!
Why You Need a Service Calendar
Service calendars are crucial for businesses that offer multiple services with varying requirements. For example, a landscaping company might offer services like mowing, yard overhauls, tree trimming, and bush maintenance, each needing different availability and equipment. Service calendars allow you to separate these services and allocate resources effectively.
Getting Started
First, log into your GoHighLevel sub-account or location. Navigate to Settings and then to Calendars. Here, you will see an option for creating a Service Calendar.
Step 1: Create Service Groups
Groups are essential as they help you organize your calendars by category. Here’s how you create a group:
- Create Group: Click on Create Group.
- Name the Group: Give your group a name (e.g., Beard Trim, Men’s Haircut Styles).
- Choose Template and URL: Select a template and provide a URL for the group.
Groups are simple but crucial for organizing your service calendars.
Step 2: Create Service Calendars
Once your groups are set, you can start creating individual service calendars for each group:
- Create Calendar: Click on Create Calendar and select Service Calendar.
- Name Your Calendar: Provide a name (e.g., Mustache Trim).
- Select Staff Members: Choose the staff members who will provide the service.
- Set URL and Duration: Give your calendar a URL and set the service duration.
- Accept Payments: Enable payments if applicable and set the price.
Step 3: Advanced Settings
For more detailed customization, go into Advanced Settings:
- Description: Add a description of the service.
- Add to Group: Select the group for this calendar.
- Placeholder Text and Contact Information: Add any placeholder text and contact details.
- Availability: Set minimum scheduling notice and other availability details.
- Forms and Payments: Link to custom payment forms and set thank you messages or redirect URLs.
- Notifications: Configure email notifications for both the contact and assigned staff.
- Customization: Add images and allow rescheduling or canceling of appointments.
- Rooms and Equipment: Assign rooms and equipment if required for the service.
Step 4: Create Service Menus
A service menu lists all the available services. Here’s how to create one:
- Create Service Menu: Go to Service Menus and click Create Service Menu.
- Name and Description: Provide a name and optional description for the menu.
- URL and Consent Checkbox: Set a URL and include a consent checkbox for communication.
- Select Services: Choose the services to include in the menu. You can select all services within a group or individual services.
- Arrange Services: Organize the services in the desired order for display.
Step 5: Booking Process
When a customer books a service, they will:
- Select Service: Choose a service from the menu.
- Choose Staff Member: Select the preferred staff member for the service.
- Set Appointment Time: Pick a convenient time for the appointment.
- Fill Out Information: Provide necessary details and make the payment if required.
Troubleshooting Tips
- Rearranging Groups: Sometimes, you might need to rearrange groups in the service menu if they don’t appear in the correct order.
- Equipment Availability: Ensure equipment is available if it’s necessary for a specific service. If not, the service will be grayed out.
