How to Set Up Partial Payments in HighLevel Calendars

What’s up, everyone! In today’s blog, we’re diving into a game-changing feature that can significantly reduce no-shows by collecting partial payments or deposits via your calendar. Whether you run an online business, a consultancy, a coaching service, or a local establishment like a salon or gym, this feature can be incredibly beneficial. Let’s explore how to set it up and start reaping the benefits.

The Challenge of No-Shows

No-shows can be incredibly frustrating and costly, especially when you could have allocated that time slot to another paying customer. This issue affects various businesses, from online agencies and consultancies to local hair salons, spas, massage parlors, and gyms. By implementing a partial payment system, you can reduce no-shows and ensure that your resources are better utilized.

Setting Up Partial Payments

Step 1: Integrate Payment Gateways

First, ensure that your payment gateways are integrated. Hover over to the payments section on the left, and navigate to integrations at the top. Currently, it is only possible to collect deposits with Stripe or Authorize.net. Once integrated, you’re ready to set up your calendar for partial payments.

Step 2: Access Calendar Settings

Go to the calendars section and navigate to calendar settings at the top. You can either select an existing calendar or create a new one from scratch. Note that partial payments can be collected with all calendar types.

Step 3: Configure Payment Settings

Select an existing calendar, click on the three dots on the right, and hit edit. Navigate to forms and payments, scroll down, and toggle on the accept payment section. Here, you will add the total amount for your services. For example, if a coaching session costs $250 per hour, enter this amount. Check the box to accept partial payments and specify either a fixed amount or a percentage. For this example, set it to 50%, which would be $125. Add a description, such as “non-refundable deposit 50%,” and hit save.

User Experience and Testing

Step 4: User Perspective

To see how it looks from the user perspective, close the settings, click on the three dots again, and select share. Copy the link, open a new browser tab, and paste the link. Select a time on the calendar, and you will see the total amount of $250 and the partial amount of $125 that needs to be paid immediately.

Step 5: Testing the Process

Fill out the required fields, enter test credit card details, and hit submit. You will see a confirmation message with the non-refundable deposit amount and a prompt to add the booking to the calendar. When partial payments are enabled, two entries will appear in the payment section under invoices: the pending amount (total minus booking amount) and the booked amount already processed.

Final Steps and Going Live

Step 6: Finalizing the Setup

After testing, ensure you switch the calendar from test to live. Go back to the calendar settings, click on edit, navigate to forms and payments, and toggle the setting to live. Hit save, and you’re all set to start collecting deposits.

Benefits of Collecting Deposits

Collecting deposits for appointments not only helps in reducing no-shows but also allows you to allocate resources effectively. For instance, if an appointment requires specific equipment, staff members, or materials, the deposit ensures these resources are reserved for that particular booking.

Conclusion

Implementing partial payments through your calendar is a simple yet powerful way to minimize no-shows and enhance business efficiency. Whether you’re managing a local business or an online service, this feature ensures better resource allocation and financial security. Start using this new feature today and experience the difference it makes in your business operations. See you in the next update!
